
Microsoft Copilot is changing how legal teams handle data by transforming static SharePoint lists and Excel files into interactive dashboards. While the challenge in previous decades was acquiring information, modern firms are often overwhelmed by the sheer volume of data available. The focus has shifted from gathering information to filtering it down to actionable insights.
That is where Copilot in SharePoint is starting to get more interesting. With a Microsoft 365 Copilot license, users can work with content already stored in the platform, using natural language to create reports and visual summaries. This capability turns raw data, such as client intake requests or litigation deadlines, into management tools without requiring manual spreadsheet cleanup.
Understanding Data Sources
When building these dashboards, the data usually comes from one of two places. A SharePoint list acts as a lightweight database where each row represents an item and each column captures a specific field, like a client name or matter number. These lists are frequently used for intake tracking, task management, and workflow queues.

Alternatively, document libraries store files such as Excel workbooks, Word documents, and PDFs. For visualization purposes, Excel files are particularly significant. Firms often save monthly reports generated from accounting or case management systems to these libraries. Copilot can summarize and visualize the content within these files, eliminating the need to manually copy data into a separate tool.
This functionality implies that the traditional gatekeepers of data analysis within a firm may soon find their roles evolving. As legal professionals gain the ability to query their own data without technical intermediaries, the speed of decision-making could increase significantly, provided the underlying data is structured correctly.
Streamlining Client Intake
A common use case involves tracking new client intakes through a SharePoint list. The list might include details such as the prospective client name, practice area, referral source, assigned attorney, and conflict-check status. Instead of manually building a report, a user can prompt Copilot to generate an interactive dashboard.
An example prompt might be: “Create an interactive dashboard from this intake list. Include total new intakes by month, intakes by practice area, referral sources, average days from intake to conflict check, and a table of items still waiting for review. Add filters for practice area, responsible attorney, and intake stage.”

This approach allows managing partners to quickly see if intake volume is rising, which practice areas are growing, and where opportunities might be stalling in the process. The same method applies to other lists, such as contract review queues, training attendance, or policy acknowledgments.
Managing Accounts Receivable
Financial data offers another clear application. Accounting teams often save monthly accounts receivable aging reports as Excel workbooks in a document library. Copilot can analyze a folder containing files like January.xlsx or February.xlsx to produce a full view of firm finances.
Users can request specific breakdowns including total receivables by month, balances over 90 days, and the top 10 clients by outstanding balance. The system can track aging buckets at 30, 60, 90, and 120-plus days while simultaneously filtering results by responsible attorney or specific practice areas.
A prompt for this scenario could look like this: “Create an interactive dashboard based on the Excel files in this folder. Show total receivables by month, receivables over 90 days, top 10 clients by outstanding balance, and balances by responsible attorney. Include trend lines from January through July and add filters for attorney and aging category.”

Ensuring Data Quality
Despite the automation, the quality of the output depends entirely on the quality of the input. If a list contains unclear column names, inconsistent matter numbers, or duplicate entries, the resulting dashboard will reflect that confusion. Users must ensure data hygiene before generating reports.
Best practices include keeping dates in designated date columns rather than in notes fields and using consistent names for attorneys and departments. Permissions are equally critical. Since dashboards can easily expose sensitive client or financial information, they should be stored in locations with strictly limited access. Copilot respects Microsoft 365 permissions, but it cannot prevent a user with access from sharing sensitive data broadly.
Interactive dashboards used to require specialized reporting experience or advanced Excel skills. While formal business intelligence tools remain necessary for complex reporting, Copilot in SharePoint provides a faster path from stored information to useful insight for everyday management questions.
